Deleting Your RepRoom Account

This page explains how to delete your RepRoom account, how to remove specific personal information without deleting your account, and what we keep and for how long. It applies to every type of RepRoom account — coaches, guardians, and other adult account holders; athletes; and under-13 athletes onboarded through a school — as well as requests a parent or guardian makes on behalf of a child.
This page is a plain-language summary of the deletion and retention terms in our Privacy Policy (see Section 8 — Data retention and deletion). If anything here appears to conflict with the Privacy Policy, the Privacy Policy controls.
This page covers two kinds of requests:
- Delete your entire account — close your account and remove the personal information associated with it.
- Remove specific data but keep your account — erase certain personal details while you continue using RepRoom.

Coaches and adult account holders
If you signed up for RepRoom yourself (you are 13 or older and created your own account), you can delete your account at any time — no email or support ticket required.
How to delete your account:
- Sign in at reproom.dev.
- Go to Account Settings.
- Select Delete Account.
- Confirm by entering your password.
Deletion takes effect immediately. Once confirmed, you can no longer sign in, and your account is removed from active team rosters.
What is deleted: your account, your login credentials, and your personal profile information — including any athletic profile fields you provided (such as birthday, height, weight, class year, jersey number, position, and bio).
What is retained, and why: some content you contributed to a team — such as messages you sent, announcements you authored, and performance stats recorded for the team — may remain visible in context to other team members for historical and audit purposes, with your name suppressed where the system supports it. We retain this content to preserve the integrity of shared team history and to support institutions' record-keeping obligations.
If you are a coach: deleting your account does not delete your teams — teams belong to the institution and remain after you leave. If other coaches remain on a team, the team keeps its coaches; when exactly one coach remains, that coach automatically becomes the head coach. If you are a team's only coach, you will be asked to confirm before deleting, and the team is left without a coach — an institution administrator can then assign a new head coach from the institution's admin Staff page.
If you are the sole Primary Administrator of an institution with an active subscription: you must transfer the Primary Administrator role to another institution member (from the institution's admin Staff page), or cancel the institution's subscription, before deleting your account. (If the institution has no active subscription, this does not apply.)
If you would like your remaining personal information (such as your email address and any remaining historical attribution) permanently removed beyond standard deactivation, email privacy@reproom.dev. We fulfill verifiable removal requests within 30 days, except where we are required to retain information for legal, accounting, fraud-prevention, or security reasons.
Athletes under 13 (school-provisioned accounts)
Accounts for athletes under 13 are created and managed by the athlete's coach or school under a signed Data Privacy Agreement (DPA), using the school-authorized onboarding path described in Section 2 of our Privacy Policy. These athletes do not have an email address on file and cannot delete their own account from settings.
To delete an under-13 athlete's account, the coach removes the athlete from the team roster. When a coach deletes the account:
- The athlete's account is deactivated immediately and can no longer be used to sign in.
- The athlete's personal information is deleted within 30 days, as required by the Children's Online Privacy Protection Act (COPPA). This includes the athlete's name, profile details, and the identifying information on their onboarding claim code.
- Content the athlete contributed to team history — such as messages sent to teammates — is retained in shared team history with the athlete's name suppressed.
- The deletion is recorded in an audit log.
A parent, guardian, or the athlete may request deletion in either of two ways:
- Contact the athlete's coach or school, who can delete the account directly from the team roster; or
- Email privacy@reproom.dev. We will verify the request with the institution and permanently delete the under-13 athlete's account and personal information within 30 days, except for content retained in shared team history with the athlete's name suppressed.
Changing to a standard account (age 13 and older). A school-provisioned account is not permanently locked into coach management. When the athlete is 13 or older, a coach on their team or someone at their school can approve changing it to a standard account. To finish, the athlete adds an email address and confirms it through a link we send to that address. Once confirmed, the account becomes a standard account — the athlete signs in with that email, and the standard-account rules above (including self-service deletion) apply. Until an account is changed this way, the under-13 protections in this section continue to apply.
Guardians
RepRoom offers optional guardian accounts for parents and guardians. An athlete can invite a guardian from their own account settings by entering the guardian's email address. The invited guardian creates a standard RepRoom account using that email and can then view their linked child's team calendar and announcements from a guardian dashboard. A guardian account is a standard adult account and holds the account holder's own name and email address. Guardian accounts are read-only and limited — they cannot send messages, view team message content, or record data.
Deleting your guardian account. A guardian account is a standard account, so you can delete it yourself at any time — sign in, go to Account Settings, and select Delete Account. See Coaches and adult account holders above for the full steps and for what is deleted vs. retained.
Removing access to a child without deleting your account. If you only want to stop following a particular child, you (or the athlete) can remove the family link between your account and that athlete from the dashboard. Removing the link revokes your access to that child's team information immediately and deletes the link; your own account is unaffected.
Requesting deletion of an under-13 child's data (COPPA). Separately from guardian accounts, parents and guardians of under-13 athletes onboarded through the school-authorized path have the right to:
- Review the personal information RepRoom has collected from their child
- Request deletion of their child's personal information
- Refuse further collection or use of their child's personal information
To request deletion of your child's account or a copy of your child's data, contact the child's coach or school in the first instance, or email privacy@reproom.dev. We will take reasonable steps to verify the request — typically by confirming it with the child's institution — and respond within 30 days.
Remove specific data without deleting your account
You can ask us to remove specific personal information from your RepRoom account — operated by Rep Room LLC — without deleting the account itself. This is for when you want to keep using RepRoom but have us erase certain personal details we hold about you.
How to request removal of specific data:
- Email privacy@reproom.dev from the email address associated with your RepRoom account.
- Tell us which information you want removed (for example, your birthday, height, weight, or other profile fields).
- We may take reasonable steps to verify your identity — or, for an under-13 athlete, confirm the request with the child's institution — before we act on it.
- We fulfill verifiable requests within 30 days, except where we are required to retain certain information for legal, accounting, fraud-prevention, or security reasons.
You can also update or clear many profile fields yourself at any time from Account Settings, without emailing us.
What we can remove while keeping your account: personal profile information such as the name shown on your profile and your athletic profile fields — birthday, height, weight, class year, jersey number, position, and bio.
Your email address is how you sign in, so we cannot remove it while keeping your account active — an adult account needs its email to function. If you want your email address removed, delete your entire account instead (see Delete your entire account above). (Under-13 school-provisioned accounts do not have an email address on file.)
Phone numbers. The only phone number RepRoom collects is an optional contact phone number provided by an administrator when registering an institution — used for account, billing, and administrative contact. Athletes and other individual users are not asked for a personal phone number: there is no phone field in athlete or standard-account signup or in account settings. If you are an institution administrator and want your contact phone number removed — or you provided a personal phone number under an earlier version of RepRoom — you can ask us to remove it using the steps above, and doing so does not affect your ability to keep using your account.
What we keep, and why: content you contributed to a team — messages you sent, announcements you authored, and performance stats recorded for the team — is retained in shared team history with your name suppressed where the system supports it, to preserve the integrity of shared records and support institutions' record-keeping obligations. This retained content is never used for advertising, profiling, or to train AI or machine-learning models.
Retention periods:
- Personal information you ask us to remove is deleted from active systems within 30 days of a verified request.
- Encrypted backups are retained for up to 7 days for disaster recovery; removed data ages out of backups as they roll off in the normal course.
- Security and audit logs (which may include IP addresses and account identifiers) are retained for at least 90 days to support investigations, compliance, and abuse prevention.

Retention period. Personal information is permanently removed within 30 days of a verified deletion request, except where we are required to retain certain information for legal, accounting, fraud-prevention, or security reasons. Encrypted backups roll off within 7 days, and security and audit logs are retained for at least 90 days. Retained team-history content is kept with the individual's name suppressed to preserve shared records; it is not used for advertising, profiling, or to train AI or machine-learning models.
